    Creating filters for Webmail

    If you use an Email Only or Webhosting package, you can create an email address with us. You can then use your email address via webmail or set it up in another email client.

    Within the TransIP webmail client you can easily set filters that apply to all incoming email. With this you can, for example, have spam messages placed directly in the 'Spam' folder or sort received email directly to the correct folder.

    To create filters for incoming emails, click 'Settings' -> 'Filters' within the webmail. Then click the '+' icon at the bottom of the 'Filters' column.

    The filters only apply to emails that arrive after a filter was created. It is not possible to filter messages that have already been recieved.


    Configure which messages are filtered

    First, you select which conditions must be met for a message to be filtered. You can do this below 'For incoming mail:'. Based on which option you select, you will get additional options to specify whether certain words, email addresses, dates, etc. are filtered.

    You can add extra lines by using the '+' icon on the right side. Make sure you then check 'Matching all of the following rules' if your filter has to take all added rules into account.

    For example, you can set an exception such as 'From' -> 'is not equal to'. Then enter an email address for which you do not want the rule to apply.


    Configure what action needs to be taken

    Once you have set the correct rules, you can determine what should be done with the filtered message below '...execute the following actions'. In the overview below you will find a short explanation for each option:

    Move message to

    Pick an existing folder to move the message to.

    Copy message to

    A copy of the message is made. The message will then be stored in your Inbox and in the selected folder.

    Redirect message to

    Enter an email address to which you wish to redirect the message. You can forward them to a maximum of 4 addresses.

    Send message copy to

    A copy of the email is sent to the specified email address.

    Discard with message

    The message will be rejected. You can create a message which the sender of the email will receive.

    Reply with message

    Automatically reply with a message. You can use this option to, for instance, notify the sender of your absence. Do note that you can not set an end time using this option like you can with a 'Vacation' message.

    Delete message

    The filtered message will automatically be deleted.

    Set flags to the message

    You can set which flags ('Read', 'Answered', 'Flagged', 'Deleted', 'Draft') you wish to give the message. This will overwrite any flags the message would have had previously.

    Add flags to the message

    Add the 'Read', 'Answered', 'Flagged', 'Deleted', or 'Draft' flags to the message. The difference with the rule above is that this one will not remove any previously set flags.

    Remove flags from the message

    Set which flags you wish to remove from the filtered message.

    Set variable

    Enter a name for your variable in the first field. You can then adjust a specified 'value' in the massage using the options under 'Modifiers'. More information about setting variables can be found here.

    Send notification

    You can use this to send a notification to a given email address when a filtered message is received. This can be useful when you use several mailboxes and can not miss certain emails.

    Keep message in Inbox

    Automatically stores the message in the Inbox. This can be used when a different rule could have moved the message to a different folder.

    Stop evaluating rules

    When the message meets the defined rule(s), stop following rules.

     


    Creating filters based on a received message

    An easy way to create filters is to base them on an email you have received. To do so, select a message from your mailbox and click '... More' -> 'Create filter'.

    A few filter rules are now set automatically. You can edit them, remove them, or add extra rules before saving the filter.
